Upload File

The Upload File page allows you to manage your certificate data in bulk by providing a supported file for processing.

File uploads have been extended to cater for the new data types described in the Add Certificate workflow (e.g. Models, Categorisation).

Backwards compatibility is also maintained with the current structure used in file uploads. Data structures are defined as:

  • Classic: The current structure that does not include the new data types.

  • Extended: Catering for the new data types such as models, manufacturing sites and categorisations.

XML

Data is declared in a series of tags through a single file. XML files are commonly produced as an output from an existing database via custom reports.

CSV

Data is declared across a series of CSV files that must be zipped together then uploaded.

This format is useful for troubleshooting upload issues with XLSX uploads, as the structure is the same however the CSV format will strip out additional formatting that may cause issues.

Uploaded files are processed via one of two possible modes:

  • Incremental: The upload process will only create and modify records as defined in the latest upload.

  • Full Replacement: The upload process will completely replace your certificate data with the data from the latest upload. 

This setting is managed by JASANZ; if you are unsure what mode you currently use or would like to change it, please reach out to us at jasanzitsupport@jasanz.org. 

There are three controls at the top of the page:

  • Search: You can filter the uploaded files to find a specific result if required.

  • Refresh: Update the list of results with the latest data; useful if monitoring the processing of a specific file.

  • Upload: Click this to begin uploading a file.

A blade will slide out from the edge of the screen. Click Choose File to select a file from your local system, then click Upload to submit the file for processing.

You will receive a message stating that the file is being processed.

By default the page will show the ten (10) most-recent uploads performed, and the status of the upload. Click the

to see the details of the file upload.

This will let you review the processing status of each certificate found in the file.

When processing is complete, your uploaded certificates will be visible in the Review Certificates section. You can also navigate directly to a certificate from this screen by clicking the Certificate ID.
